The Trust Monies on Hand report gives the sum of monies that have been received in direct relation to bookings, and what is owing to the operator.
The sum of money your Booking Centre should have in Trust is determined by:
Trust Monies on Hand Report "Trust Total" + Retail Sales + Fees** = Total Sum
Fees** consists of:
- Booking Fees
- Amendment Fees
- Booking Centre Cancellation Fees
- Event Handling Fees
You can access the Trust Monies on Hand report from your Bookeasy Staff Console's left menu at Financials > Trust Monies on Hand.
Payment Reconciled Date (To) will always default to today's date.
This will provide you with a result for all bookings and monies sitting in trust (yet to be paid out to operators)
- Untick the Show Summary? button if you wish to see each individual booking itemised on the report.
- It is recommended to untick Completed Bookings Only?
This will ensure the results include monies collected for future bookings.
- Click on Perform Search
- Click on the headings in the table to sort the search results.

This amount is for all bookings ever made for the operator.
Does not include Booking Fees or Bonds

eg Commission Amount + Return Amount
Booking Date, Itinerary Number, Booking Number, Guest Name, Arrival Date and Out Date will not be displayed on the report if you have selected Show Summary option in the search criteria.
Reporting the 'Total Paid' amount for Split Itineraries
When viewing the non-summary Trust Monies on Hand report whereby the report lists itemised bookings, you might come across bookings that are included on a shared itinerary along with additional bookings for other operators. As Bookeasy assigns payments processed to the itinerary as a whole (as opposed to the individual bookings on an itinerary), the Trust Monies on Hand report's "Total Paid" column splits the payments made on an itinerary across the multiple bookings that may be included on that itinerary.
This calculated split is determined and based on the percentage of each booking's total value against the itineraries total value.
For example, if you have an itinerary with two bookings, one for $20 and the other for $80, the total value of the itinerary is $100. If a single part payment of $50 is made on the itinerary, the 'Total Paid' column in the Trust Monies on Hand report will calculate 20% of that part payment for the first booking, and 80% of the part payment for the second booking. As a result, the $20 booking's 'Total Paid' column will calculate as $10 (20% of the $50 part payment), with the $80 boooking's 'Total Paid' column calculating it as $40 (80% of the $50 part payment).
